PARTS DEFINTION NOTES TAB AND ATTACHMENTS.

Would love to have a notes funcionality per Parts Def record. Also the ability to simply attach a file ( perhaps with global size limits set). Many times I would like to "remember" something peculiar about an item but cannot record this to that item.

ALSO, would love to be able to have a "Related Items" tab that shows like or similar items. From my short expereince in this industry, it seems that many staff regularly refer to, rely on, and search for, and even expect to request items by some vague description and size rather than by item number and mnaufacturer... and often in some informal jargon that is complete martian to me and others who may be from a different area or region hwere they called it something else. It would be useful to record info like this as well as specs, recalls, technical notes, MSDS ... whatever... for instance Pract x is looking for a CAM WALKER but there is no such description anywhere in the db ... it would be useful to have a note in the "Walker" items that explained " often referred to as a CAM Walker though technically it it is not one" the perhasp attach a "wiki" kind of thing that explains waht CAM really means ... this may not be the best example but for some items it would be very helpful in deciding if it is the right. In other words you should not have to have years and years of ambient experience in O&P in order to control, pick, and generally handle relatively low cost soft goods.

A notes field would also be helpful to identify potential caveats, durability, sizing issues, etc unique to that item. The "tab" should be consistent throughout Medflex definition screens, that would potentially allow attachment of a scanned image to the part definition screen. In parts definition could attach a foto of device, size chart...etc that is user defined. This could be useful to practitioners and techs as well.
Particularly helpful if you have "custom" defined in-house parts.

Thanks for the reply! So then if used throughout MedFlex we would need some type of control of what could be attached , who can attach, and how big and what type (file size and type) could be attached/dragged and dropped. I am starting to do this under Vendor maintenance Notes and Docs but it is tedious having to comb through it there.

Currently you can attach any file type in Patient files, clinical notes and the vendor maintenance screens. We scan all incoming vendor documents including vendor packing slips, invoices, credit memos. We went paperless on the AP side first. You can attach any file type, pdf, doc, jpg, avi or zip, etc. The key is defining and selecting the associated note type and creating a brief description of the content for each attached file. Using the copy to folder/process folder you can actually dump a number of files - all must be the same type (pdf, jpg, avi, etc) and Medflex will process to the same note type - allowing some batch processing. This does require some care and caution.
The patient file has a "copy docs" funciton that copies all image files for the selected date range to a tmp folder. (we use this for pre/post pay audit document sorting and response to subpoenas for records) This is very useful.
Any definition/maintenance screen - physician, insurance carrier, patient, etc should also have the filter function to search for specific note type, and date range - just like in the patient file.
Any definition screen that allows "attaching" files/docs should have a similar "copy docs" function as the patient file does to allow more rapid sorting. This does create duplicates.
Medflex should have the same ability to attach files/documents in all the following definition/maintenance screens: (should just be a matter of copying the script to do so....)
a) Physician maintenance - allow us to track non patient related info and correspondence, signature verification comes to mind right off.... (we now have a separate directory/folder structure to do this)
b) Insurance carrier maintenance - allow us to attach contract files, non patient related correspondence, fee files, credentialing docs sent, etc.
c) parts definition - allow us to attach size charts, fotos, etc. - this would be especially useful if you have your own CFAb with "unique" parts defined. This would not replace the URL link to vendor site - but supplement it for personal needs.

I could also see a separate reporting function for each to generate a todo(TIC) report at some point as well for each of these that could be directed to a specific user for future followup activity - similar to the patient notes.
